Booking Agent

AI booking automation for service businesses.

The Booking Agent turns booking enquiries into confirmed appointments. It reads the request, checks availability against your calendar and rules, asks for anything missing and sends the confirmation. Unusual requests are handed to your team.

The problem

Why booking admin piles up

  • Booking requests arrive by email and web form, each with different missing details.
  • Staff check calendars and availability by hand before they can reply.
  • Back-and-forth messages slow down confirmations, and some customers book elsewhere.
  • Exceptions such as rescheduling or special requirements are easy to lose track of.

How it works

How the Booking Agent works.

  1. 1

    Read the request

The agent understands what the customer wants and extracts the booking details.

  2. 2

    Check availability

Your calendar and business rules are checked before anything is offered.

  3. 3

    Fill the gaps

Missing information is requested automatically, so the booking can be completed.

  4. 4

    Confirm or escalate

Straightforward bookings are confirmed and exceptions go to your team for a decision.

NegiFlow designs, configures, integrates and tests the workflow before launch, then monitors it and optimises it every month. See our process.

Does it work with our calendar?

Google Calendar is supported out of the box. Other calendar and booking systems can be connected if they provide an API.

What happens with unusual requests?

Anything outside your rules is flagged for a person to handle, with the details already gathered.

Is this a phone receptionist?

No. The Booking Agent handles written enquiries, such as email and web forms. For phone calls, see our AI Receptionist, which answers calls and books appointments.
