Invoice Workflow

Invoice automation without replacing your accounting software.

The Invoice Workflow takes the repetitive admin out of accounts payable and receivable. It extracts invoice details, files documents where they belong, sends notifications and chases follow-ups. It works with your current tools, so there's no new platform for your team to learn.

The problem

The invoice admin nobody enjoys

  • Supplier invoices arrive as email attachments and are keyed in by hand.
  • Documents end up scattered across inboxes, drives and desktops.
  • Overdue invoices depend on someone remembering to follow up.
  • Dedicated AP software can be more cost and change than a small team needs.

How it works

How the Invoice Workflow works.

  1. 1

    Capture

Invoices are picked up from email and other sources as soon as they arrive.

  2. 2

    Extract

Supplier, amounts, dates and reference numbers are read from each document.

  3. 3

    Organise

Documents are named, filed and passed to the next step in your process.

  4. 4

    Notify and follow up

The right people are notified, and follow-ups go out on schedule until the invoice is resolved.

NegiFlow designs, configures, integrates and tests the workflow before launch, then monitors it and optimises it every month. See our process.

Do we need new accounting software?

No. The workflow is built around the tools you already use and connects to them where they provide an API.

Can a person approve invoices before anything happens?

Yes. Approval steps can be added wherever you want a human decision.

What if an invoice can't be read clearly?

It is flagged for review instead of guessed at, so errors don't flow into your records.
